This document outlines SpaceCloud’s privacy policy.
1. Introduction
Nspace (hereinafter referred to as "the Company") operates the SpaceCloud service (hereinafter referred to as "the Service") in accordance with the privacy policy stipulated in the terms and conditions. This policy applies to all areas of the SpaceCloud service where it is referenced or authorised for display.
For residents of the United Kingdom, this policy is applied in accordance with the UK General Data Protection Regulation (UK GDPR).
The Company is committed to protecting users' personal data and has established, manages, and discloses this privacy policy to ensure the effective and transparent handling of users’ concerns regarding their personal data.
2. Definitions
This section defines key terms used in this privacy policy.
• Beta Period: The initial phase during which the Service operates with limited functionality, enabling users to make automated reservations and payments before the official launch. • Booking: A contract between the guest and host to use a specified space on an hourly basis or as part of a package. A booking is confirmed once the guest submits a booking request, the host approves it, and the guest completes the payment.• Booking Approval: The act of a host approving a guest's booking request. • Booking Request: The act of a guest submitting a booking request for a specific place within the Service. • Company: Refers to NSPACE Inc., the operator of the SpaceCloud service. • Concierge Service: A professional service managed by the Service operators that handles reservations, payments, payouts, inquiries, and other administrative matters to ensure a secure user experience. • Content: Refers to all materials displayed on the Service, including photos, descriptions, materials, media, notices, and stories. Ownership rights vary depending on the author. • Guest: Refers to individuals or corporations seeking to discover, book, and use spaces via the Service platform during the Beta Period. • Host: Refers to individuals or corporations who offer specific spaces for hire on an hourly basis or as part of a package through the Service platform during the Beta Period. • Place: The address of a legally authorised space (building or specific location) available for hire, managed by a place manager. • Product: Refers to all items available for reservation, including spaces and additional services provided by the host. • Service: Refers to the space rental platform operated by the Company, including functionalities that facilitate reservations and payment processing. • Service Operator: Refers to employees or service providers managing the Service. • Space: A reservable product belonging to a Place, available on an hourly basis or as part of a package. • Space Content: Refers to all materials related to a specific space, including text, graphics, images, audio, video, software, and other digital files, as presented on the Service. • Stripe: The electronic payment service used by the Service to ensure secure transaction processing for reservations. • Total Payment: The total amount charged to guests, including the hire fee, minimum spending amount, Service fees, additional service charges (e.g., food, equipment rentals), extra charges, and taxes. • Usage Confirmation: A verification period of up to 7 days following the completion of space usage. If no issues are reported by the guest during this period, the usage is considered finalised, allowing the Service to process payout to the host. • User: Refers to all individuals (guests, hosts, visitors) who use the Service.
3. Collection of Personal Data
The Company collects and manages users' personal data in accordance with the following principles.
3-1 Information you provide
For Guests:
- Name or alias for booking
- Contact details (email address, mobile number)
- Payment information
- Address (billing address or business address for VAT registered guests)
- Booking history (booking date and time, number of guests, payment method and amount, name, email address, and phone number provided at booking)
- Bank account details (for refunds)
For Hosts:
- Name of the responsible business operator or team name
- Contact details (email address, mobile number)
- Business information (business type, company registration number or unique taxpayer reference)
- Address and detailed information of managed spaces
- Proof of Residence (utility bills etc)
- Booking history (booking date and time, payment method and amount, name, email address, and mobile number provided when the guest makes the booking)
- Information for invoicing and payout (address, bank account details, payment history, and settlement details)
3-2 Optional information provided by users
- Additional details entered during booking, such as :
- Special requests for space usage
- VAT number (upon registration)
- Service interactions, such as :
- Reviews and feedback on service usage
- Survey responses
- Delivery information for event participation prizes
3-3 Information automatically collected
- Information required for service operation
- IP address
- Cookies
- Date and time of visit
- Records of improper usage
- Device information (PC/Mobile)
3-4 Information from third parties
- Data obtained via linked social media account or keyword search advertisements
4. Legal Basis for Processing Personal Data
The Company processes personal data based on the following legal grounds :
- Consent : When required, we will seek your explicit consent. You may withdraw consent at any time, though this may impact service availability.
- Contractual necessity : Data processing is essential to fulfill contractual obligations, such as processing bookings or providing access to space listings.
- Legal obligation : Compliance with legal requirements, including tax regulations and other statutory obligations.
- Legitimate interests : When processing is necessary for the legitimate interests of the company or a third party, provided it does not override users’ fundamental rights and freedoms. Examples include :
- Fraud prevention
- Internal administrative purpose
- Personalising service delivery
- Ensuring network and information security
- Reporting potential criminal activity
5. Purposes of Data Processing
The Company collect and process personal data strictly for the purposes necessary to provide and enhance the service :
- User Management: Personal identification for seamless service operation, verification of bookings and transactions, restriction of users violating terms and conditions, prevention of service misuse, dispute resolution, record-keeping, and notifications
- Service Analysis & Improvement: User behavior analysis, service enhancements, and personalised recommendations
- Marketing & Promotions: Promotional content delivery, event participation verification, and personalised offers
- Bookings & Transactions: Processing payments, issuing invoices, and transaction verification
- Security & Privacy: Ensuring a safe and trustworthy environment for users
6. Data Retention Period
Personal data is securely deleted once the processing purpose is fulfilled, unless retention is required by law.
7. Disclosure of Personal Data & Third-Party Integrations
The Company collaborates with third-party services to operate the service efficiently. Data processing by these parties complies with applicable laws and contractual agreements to ensure the secure management of personal data.
8. Data Disclosure & Public Information
The Company does not disclose or share users' personal data with external parties without prior consent. However, exceptions may apply when the user has explicitly consented to the disclosure or when required by law or law enforcement authorities.
Additionally, for user convenience, certain optional personal data that users have agreed to share may be publicly displayed within the Service. Users should review and acknowledge this before using the Service.
Due to the nature of the Service, users should be aware that personal data may be shared between parties during booking transactions.

By using the Service, you acknowledge that your personal data may be transferred to and processed in countries where SpaceCloud and its partners operate, including the UK. These countries may have different data protection laws compared to your country of residence.
10. Google Maps Integration
Where Google Maps is used, Google’s privacy policy applies.
11. Protecting Your Personal Data
The Company implements technical and administrative measures to prevent unauthorised access, data breaches, loss, or damage to personal data. However, as no online data transmission is completely secure, users should remain cautious when sharing personal data.
- Administrative Measures: Establishment of internal management plans, regular staff training, and operation of a dedicated privacy protection team.
- Technical Measures: Access control for personal data, encryption of sensitive information, and security programme management.
- Physical Measures: Secure cloud storage and restricted access to sensitive data.
12. User Rights & How to Exercise Them
Users have the right to:
- Access their personal data (Right of Access)
- Rectify or erase their data (Right to Rectification & Erasure)
- Withdraw consent for marketing communications
- Request data portability (Right to Data Portability)
- Restrict data processing for specific purposes (Right to Restrict Processing)
- Object to data processing (Right to Object)
- Withdraw consent for data processing (Right to Withdraw Consent)
Requests should be submitted via the company's official email. The company will process such requests within the legally specified timeframe.

13. Cookies & Tracking Technologies
The Service uses cookies and tracking technologies to improve service functionality and user experience. Users can manage cookie preferences via their browser settings.
Cookies are small files of information that a web server generates and sends to a web browser. Web browsers store the cookies they receive for a predetermined period of time, or for the length of a user's session on a website or device.
SpaceCloud uses first-and third-party cookies (including our affiliates), pixels including other tracking technologies from third party publishers to give you the full functionality of our website, customize your user experience, perform analytics and deliver advertising on our websites, app, across internet and via social media platforms. We track your activities if you click on advertisements for SpaceCloud services on Third-Party sites such as search engine, social media platforms. For that purpose, we collect information about user, browsing patterns and device. Our ad partners may use its cookies, pixels to help deliver ads to you. Please note that turning off cookies does not mean that you are not served any advertising, they will not be based on information collected from these cookies.
You may disable cookie settings by activating the setting on your browser which allows you to refuse the setting of cookies. However, you may lose some of the features and functionality of using our Platform, as cookies are necessary to track and enhance your usage and access

14. Children's Privacy
The Service is intended for users aged 18 and above. The Company does not knowingly collect data from children. If children's data must be collected, parental consent is required.
15. Amendments
This Policy is effective from 17 February 2025. Any changes will be announced at least seven (7) days in advance.
